How to create a WhatsApp AI agent for your yoga studio
Set up a Wabery agent that answers class questions and helps students book yoga sessions on WhatsApp, with class capacity, customer passes, and waitlists.
A Wabery WhatsApp agent can answer studio questions, check available class places, and book a student after they confirm. You configure the agent and class calendar in the dashboard. This tutorial also covers class passes, full sessions, cancellations, and the limits of calendar sharing.
Can students book yoga classes through WhatsApp?
Yes. With Wabery Reservations configured for Classes and agent booking actions launched, students can ask for a session and confirm a place in WhatsApp. Wabery checks capacity again at confirmation. Sharing a timetable with the agent is not enough; the sessions and capacity must be configured in Bookings.
How do I create a yoga studio agent without coding?
Open agent setup, choose Reservations, and describe your studio’s booking workflow. Wabery runs the agent. You can set it up as the studio owner or have someone prepare it for your team.
- Describe the questions it should answer and when to involve staff.
- Choose a voice and reply language preference.
- Add your class descriptions, location, prices, arrival instructions, and cancellation policy. Paste notes, import your website, or upload text, Markdown, or CSV files.
- Review the saved facts, enable Smart Replies, and select Build the agent.
Adapt this example instruction:
Help students understand our yoga classes and book available places. Use our class descriptions for beginner questions. Confirm the exact class, date, time, and number of places before booking. Never invent availability. Ask the team about refunds, exceptions, and individual medical suitability. Keep answers short and warm.

What should the agent know about my classes?
Add the level, duration, format, equipment, arrival rules, and price for each class. Explain what a beginner can expect. Keep this information consistent with your booking policies and review website imports for expired offers.
For example, a fictional studio might provide:
Willow Yoga: Beginner Flow is a 45-minute introduction; no previous experience needed. Mats are available. Arrive 10 minutes early; no entry after class starts. A drop-in costs $15 and a five-class pass costs $65. Reception takes payment outside Wabery. Questions about injuries or medical suitability go to the team.
Replace the example details before publishing. This is business information, not a live schedule.
How do I set class times and maximum attendance?
Open Bookings → Booking settings, select Classes, and configure the venue timezone, sessions, capacity, closures, and policies. A project has one venue and one reservation model, fixed after its first successful save.
Here is a small example schedule:

If sessions share a room, configure that room as a required resource so overlapping sessions cannot claim it together. Save, inspect the availability preview, turn on Bookings, and select Publish booking changes.
Record reception and phone bookings in Bookings → Calendar too. Wabery cannot account for a place sold only in a separate system. See Reservations.
Can students book using a class pass?
Yes. Bookings → Customer passes lets you create a pass type, choose eligible services and unit costs, and assign units to an existing customer. For example, a five-class pass can have five units, with one unit used for each eligible single-student reservation.
Wabery checks the pass again when the student confirms. If it has expired or the balance is insufficient, the reservation is not created. Eligible cancellations return units according to your booking policy.
Customer passes do not collect payment. Take payment through your usual process, then assign units. They are separate from the Wabery Wallet that pays for AI usage; they are not recurring memberships or shared family balances.
What happens when a yoga class is full?
An eligible WhatsApp customer can join the waitlist. Joining does not reserve a place or spend pass units. When capacity returns, Wabery can offer the place to the oldest compatible request. The offer lasts 15 minutes, and availability and any requested pass are checked again when claimed.
Use Bookings → Waitlist to review requests and offers. Tell students clearly that joining the waitlist is not a confirmed booking.
Can students cancel or change a booking?
With agent booking actions launched, the agent can change or cancel reservations after the required customer confirmation. If a requested change is no longer available, the existing reservation stays in place. A cancellation’s effect on pass units depends on your configured policy.
Staff can also manage reservations in the calendar. If you cancel a whole class occurrence, review customer notification results. A failed notification does not reverse the saved cancellation.
Does Wabery sync with Google Calendar or my booking software?
Wabery exports a read-only iCalendar feed. It does not import busy time or provide two-way calendar synchronization. If Wabery manages class capacity, enter all reservations there. If another system remains responsible for availability, do not assume this tutorial connects the two automatically.
Group classes and private appointments also use different reservation models. Use another project if you need a separate Private appointments setup.
How do I connect WhatsApp and start taking bookings?
Connect your studio’s number, publish the reviewed agent, and launch its booking actions. These are separate steps:
- Use Channels → Connect and follow Connect WhatsApp for a new number, the Business app, or a move from another provider.
- Review and publish the agent in Agent. Draft is the editable version; Live is the published version.
- With booking rules published, complete the readiness checks and select Launch agent booking actions.
For staff takeover, configure a “human” keyword automation with Pause Replies. A manual Inbox reply also pauses automation until handoff is turned off. When Smart Replies is off, unmatched messages use your configured fallback or go to the team. See human handoff.
How much does a Wabery WhatsApp agent cost?
Wabery’s Free plan includes one Live project, one connected channel, and 1,000 messages a month. Pro is $15 a month with two Live projects and 50,000 shared messages. AI usage and WhatsApp delivery are separate from the platform allowance. See current pricing.
AI replies, including private tests, use Wabery Wallet credit. New accounts receive $1 of AI credit without a card. Your first Wallet top-up of $10 or more adds $2 bonus credit. Enabling Smart Replies does not itself add a card, charge a top-up, or enable automatic top-ups.

What should I test before inviting students?
Use the Draft simulator for answers and handoff. A saved Draft can also be shared through a Private Wabery link, which does not expose live business actions, or tested from your phone through the shared WhatsApp Sandbox.
