How to create a WhatsApp AI agent for your barbershop
Build a Wabery agent that explains your services and books barber appointments on WhatsApp. Follow the setup, add staff availability, and test a real booking.
You can use Wabery to answer barbershop questions and book appointments through WhatsApp. Configure services, durations, and each barber’s availability; the agent checks for a slot and asks the customer to confirm. This tutorial uses Wabery as the booking calendar and explains what to do if you keep another system.
Can customers book a specific barber through WhatsApp?
Yes. Wabery’s Private appointments model reserves a service with an available staff member and any required resources. Configure which services each barber offers and when they work. The agent can ask for a preferred barber, check availability, and confirm the proposed appointment with the customer.
How do I set up a barbershop agent without a developer?
Open Wabery’s agent setup, choose Reservations, and describe the job. Wabery hosts the agent. You can run it as the shop owner; agency help and developer tools are optional.
- Describe the services it should help customers book.
- Choose its voice and reply language preference.
- Paste your business details, import your website, or upload text, Markdown, or CSV files. Review the saved information.
- Enable Smart Replies to answer using that knowledge, then select Build the agent.

Help customers book at Cedar Barber Co. Ask for the service, preferred day or time, and preferred barber. Check availability using the booking tools. Ask the customer to confirm the service, barber, exact date, and time before booking. Never promise a slot before the booking succeeds. Ask the team about complaints, late arrivals, or unlisted services.

What services and staff details do I need to add?
Add service names, prices, durations, and eligible staff. Include the shop’s address, opening hours, cancellation rules, and late-arrival policy in the agent’s knowledge. Configure the actual services and staff separately in Bookings so the agent can check availability.

An instruction saying “Sam only cuts hair” helps explain the policy. The service configuration must enforce the same restriction.
How do I configure barber availability?
Open Bookings → Booking settings and choose Private appointments. Each project has one venue and one reservation model; the model is fixed after the first successful save.
- Set the venue timezone and add services with their durations.
- Add staff, eligible services, and each person’s bookable hours.
- Configure closures, any needed time between appointments, and required rooms or named resources.
- Save and inspect the availability preview.
- Turn on Bookings, then select Publish booking changes when the rules are ready for staff use.
For example, if Sam works Thursday–Saturday, verify that no Tuesday slots are offered with Sam. Check that a 45-minute service cannot start too close to closing time. See Reservations.
How do I prevent clashes with walk-ins and phone bookings?
Record those appointments in Bookings → Calendar before offering the same time to WhatsApp customers. Wabery checks availability again when a customer confirms, but it cannot see a commitment recorded only in a notebook or separate booking system.
Use the calendar to block unavailable time and keep staff hours current. A conversational answer alone is not evidence that a slot has been reserved; check the booking record.
Can I keep using my existing booking software?
You can keep another booking system, but this tutorial does not connect it to Wabery. Wabery’s calendar sharing is a read-only export and does not import external busy time. Do not enable automatic confirmation against incomplete availability.
Choose Appointment requests if you want Wabery to collect a preferred service and time for a person to review in your existing system. A request does not hold a slot or confirm a booking. Connecting another scheduling system’s live availability requires a separate integration.
Can the agent reschedule appointments or take deposits?
Once agent booking actions are launched, the agent can change or cancel reservations after the required customer confirmation. If a requested change is unavailable, the original reservation stays in place. Wabery Reservations does not collect payments or deposits; handle those through your existing payment process.
Can I use my existing WhatsApp number?
Use Channels → Connect and select the option matching your number. Wabery has separate paths for a new number, continued Business app use, moving from another API provider, and reconnecting a previous channel. Follow the connection requirements; do not delete a number before migrating it.
After connecting, review and publish the agent in Agent. With booking rules published, complete the readiness checks and select Launch agent booking actions. Connecting a channel alone does not make a Draft agent live or enable bookings.
How can a barber take over the conversation?
A manual reply in Inbox pauses automation for that conversation until handoff is turned off. You can also configure a keyword such as “human” with the Pause Replies action. Make sure someone monitors the inbox; pausing automation does not mean a staff member has already answered.
When Smart Replies is off, unmatched messages use the configured fallback automation or go to your team. Set a clear fallback response. See human handoff.
How much does a Wabery WhatsApp agent cost?
Wabery’s Free plan includes one Live project, one connected channel, and 1,000 messages a month. Pro is $15 a month with two Live projects and 50,000 shared messages. AI usage and WhatsApp delivery are separate from the platform allowance. See current pricing.
AI replies, including private tests, use Wabery Wallet credit. New accounts receive $1 of AI credit without a card. Your first Wallet top-up of $10 or more adds $2 bonus credit. Enabling Smart Replies does not itself add a card, charge a top-up, or enable automatic top-ups.

How do I know the agent is ready for customers?
Test answers in the Draft simulator. You can also share a saved Draft through a private link or try it from your phone through the WhatsApp Sandbox. Private links do not expose live business actions.

Cancel your controlled test appointment afterward. Review message delivery separately: a failed confirmation message does not undo a saved booking.
